JobNimbus integrates with your email, making it easy to attach important emails as customer notes. Our software for roofers easily tracks and saves the emails you send to your customers. This feature allows you to store important conversations in the customer file. There are a couple of ways you can store emails as notes in JobNimbus.

Forwarding or BCCing Emails 

When you sign up for our roofing software, JobNimbus gives you an email address. Your administrator can go and find this email address for you, so you know what it is. It’s under the “Email” tab under settings in JobNimbus. This email address is not an email you would give out to customers. However, it is a helpful email address that you can use to either forward, BCC or CC emails you’re sending or receiving. This is one way you can store your emails and attachments as notes in JobNimbus.

On your mobile app, you can go in and compose a message like a regular email, but also make it a note in JobNimbus. All you need to do is enter your JobNimbus email address in the BCC field.

One thing you need to make sure of is that your customer’s email in the “To” section is a registered email in JobNimbus. If you don’t already have a contact in JobNimbus with that email address, JobNimbus won’t know who to attach the email to. As long as that email address is under your contact in JobNimbus, the roofing software will automatically make that email into a note once you’ve sent it.

If you switch back to the web view of your roofing software and go to the customer’s profile, you’ll notice new activity posted. You’ll see your new note at the top of the feed. You don’t have to manually type this in, because as soon as you send your email, JobNimbus records the message. It also records the subject line of the email and the day and time it was sent. If you click on “Show More,” you’ll see further details including the “To” and “From” information. If your customer replies to the email you sent, JobNimbus will additionally record their response as a note for you.

Emailing Directly from JobNimbus 

Another way you can send emails is right from JobNimbus. Log in through your browser on your phone or computer and view the customer you want to send an email to. Click “Add Note” in the right corner of your activity feed. There, you’ll notice a “Send Email” option down below. If you check that box, JobNimbus will allow you to type out an email message straight from there.

There’s also an option to insert templates that your administrator can set up for you. Underneath the message box, you’ll see an “Attachments” button. Simply click the button and you’ll see a drop-down with all the attachments and photos related to that customer. You can check whatever of those attachments you want to send, and your roofing software will automatically include them in the email.

A little bit below that is the subject line and a “Send To” field where you can select the customer and other contacts you want to share the email with. After you hit “Add Note,” two things happen. First, JobNimbus will record the note and attachments under your activity log so you can keep track of everything. Secondly, JobNimbus will send a normal email to the customer with any files attached. Again, any replies will also be recorded in your activity and your email inbox.  

Summary

You can use tasks to keep track of reminders, to-dos, follow-ups, and appointments in your JobNimbus CRM for roofing. Tasks can help you do things like remember to order materials for a job or remind you to schedule a job.

Add Task from Home Page

 

There are several different ways to create a task. In your JobNimbus web app, on the home page, you can hit the “Add Task” tab on the top of the page. The new window allows you to create generic tasks where you can fill in the task name, description, scheduling, and more. If you just want to make a reminder, you can set a start and end date. You can also enter a specific time for the roofing CRM to notify you.

The “Assigned To” field is important to fill out because it tells JobNimbus which team member the task is being assigned to. It will always default to yourself when you create a task, but you can also type in the name of other users in your company and assign them alone, or with yourself or multiple other people. If you assign someone else, they will automatically be notified through either email or push notification, depending on what their preferences were set to be.

On the bottom, you can also see a “Related Contacts” field that lets you connect the task to a customer (or job if you have Jobs set up). Once you’ve added the task, you may get a pop-up reminding you that you’ve double booked if that’s the case. JobNimbus will confirm whether you want to still add the task if you have another task booked for the same day and time.

Add Task by Customer/Job

 

Another way you can add in tasks is to find a customer or a job in your roofing CRM. You can search for them at the top in the search bar or go to your list or boards view. After you’ve selected the customer you want to add a task to, click the Task tab, hit “Add Task,” and fill out the appropriate information.

Because you’re adding the task to the customer’s contact record, JobNimbus will automatically link the customer’s name to the “Related Contacts” field for you. Once you’ve set up the task, JobNimbus will do a couple of things. First, it will link the task to your calendar, and second, it will make the task appear on your dashboard list. Once you finish the task, you can check it off and JobNimbus will hide it from your list and calendar. You can also add tasks from your calendar for easier scheduling.

One other thing your CRM for roofing will do is send you a reminder on the day the task is due. Like we mentioned before, you can be notified through either email or push notifications depending on your preferences. You can change your notification preferences by clicking your name in the top right corner and hitting “My Info.” If you scroll down a little, you will see a notification category. There you can change your notification method and choose what kind of reminders you want to receive. If you receive an email notification for tasks, you can mark them complete right from your email.  

Summary

 

If you need to remember to order materials for a job or to schedule a job, just use tasks in JobNimbus. You can add the task directly to jobs and see them straight from your dashboard’s task list and calendar. Simply drag and drop appointments on your calendar to reschedule them. Also, receive notifications the day tasks are due. Again, you can add tasks just from your home page or by searching for a customer or job in JobNimbus. You can also see your task list on your mobile app to help you remember to get tasks done. You can schedule appointments for yourself and others using tasks right from your JobNimbus CRM roofing solution. You can also use the JobNimbus calendar for easy scheduling and planning.

Using Tasks for Appointments

 

One easy way to schedule appointments in your CRM roofing solution is to go to a customer’s profile and select the task tab. Under there is the option to add a task. When you click that, it will let you put in the task details.

Say that you’re going to schedule one of your sales reps to go out for an appointment. In your CRM roofing solution, you can specify the Task Name, and select the Task Type, whether that be a phone call, meeting, or appointment. In your settings, you can add more tasks types to match what you want.

You can put in a description of specific details that you need your sales rep to know when they look at the task. Then, you can set the date and time. This is what’s going to put the task into the calendar and set up reminders for the person.

Next, you can assign the task to whichever rep in the field that you want or yourself. When a person gets assigned, JobNimbus will automatically send that person a notification. Whether that be an email notification or a push notification, it depends how the person wants to be notified. You can also relate the task to a contact. JobNimbus will automatically enter the customer that the task is tied to in this spot. However, you can always look up more customers and link them.

As soon as you hit “Add Task,” your CRM roofing solution will send out a notification. On your mobile device, you can choose to view the notification. This automatically takes you to the task in the JobNimbus mobile app. The task also goes into the customer’s task list in the web app. Task lists give you a better view of what’s overdue, due now, and upcoming. JobNimbus will even send a reminder to the sales rep on the day the appointment is due, so they don’t forget about it.

Using Calendar for Appointments

All the appointments you create will also go onto the sales rep’s calendar in your CRM roofing solution. You can see a full shared calendar, with each of your team member’s appointments color-coded to easily see what’s assigned and when people are available. Show and hide different team members and view appointments in daily, weekly, or monthly views to quickly find what you’re looking for.

If you don’t see certain tasks appearing on your calendar, make sure you selected “Task,” “Phone Call,” “Meeting,” or “Appointment” task types under the Calendar section to see it. You also have the option to see completed tasks. By default, when a task is completed, it is hidden from the calendar. If you want to see them, you can click “Show Completed Tasks” to see already completed tasks. These show up in a grey color with checkmarks next to them. You can also turn on different contacts, jobs, and work and material orders. 

Creating tasks and reminders for yourself in JobNimbus are helpful for ensuring you get things done. Again, those tasks will appear on your task list and calendar view in your mobile and web app. Additionally, your CRM roofing solution will send you a reminder when tasks are due so you never fall off schedule. JobNimbus software is perfect for roofing business owners due to its straightforward ability to scan and attach documents. Documents and files can be attached directly into the JobNimbus mobile app. If you receive an email with an attachment, you can simply tap on the attachment and use the option to attach that document to your customer in JobNimbus. You can also use any scanner app on your mobile device to scan in documents and attach them to customers in JobNimbus.

Attaching Documents

 

As roofing business owners, you receive a lot of attachments. Let’s say that you get an email with an attachment you want to upload into JobNimbus. If you tap on the attachment, it lets you view it. On the iPhone or iPad roofing software app, you’ll see a square box with an up-arrow in the top right corner. If you’re on your Android, there’s a different looking option. By clicking on it, it will allow you to choose which program you’d like to put the file into. You can select the JobNimbus app to open the file in.

 After you’ve tapped on it, your phone will take you to a screen in the JobNimbus app that asks you what you want to attach the file to. You can choose either a Contact or a Job. If you choose a Contact, you can pick from your list of customers which specific customer to put the attachment to. You will also see that there is a File Name, Category, and Description. Adding a description and category is optional.

After you’ve hit save, the file is officially attached to your contact. This makes attaching files from your phone easier because you don’t have to download the attachment and manually import them into your desktop. JobNimbus lets you do it all from your mobile app. To double-check, you can go into the contact that you attached the file to, scroll down to “Related.” Underneath you’ll see your Attachments. If you click on that, you’ll be able to view your most recently uploaded attachment at the top.

Scanning Documents

 

Roofing business owners are also required to scan dozens of documents. JobNimbus makes this easy with the mobile roofing software. You can use virtually any scanner app on your mobile device to scan in documents and attach them to a customer in JobNimbus. We recommend using the app TurboScan, but there are also plenty of other free options available. As you use your scanner app to take a photo of your document, try to keep the document as straight and flat as possible.

Once you’ve snapped a photo, you can adjust and crop it to fit the frame or add multiple other photos in separate pages. You’ll want to look out for the same square box with an up-arrow icon (in iPhone, Android is a little different) in your scanner app. This will let you choose the option to “Open PDF in…” which you would then pick the JobNimbus app as the program you want to open the document in. JobNimbus will automatically remember the last customer you attached something to, but if you want you can choose a different contact to upload the document to.

Additional Features

You can create contracts and documents right from your mobile app in JobNimbus. This enables you to create and access your documents right from the customer file on your phone. Once you set up your own contracts as templates in your mobile CRM app, you can build a contract while you’re meeting with your customer and get signatures right at the door.

How to Build Contracts 

 

To do this, you would go to a customer or job in your JobNimbus app and then hit the plus (+) icon in the top right corner. This slides to a page with the option to add a document. Select “Add Document,” which will then show you the contact you’re adding a document to. It will also show you the status, document date, and document template. If you tap “Document Template,” JobNimbus will show you a list of all the templates you’ve set.

Templates are something your admin needs to create for you. If you don’t see anything on this list, your admin hasn’t created a contract using the Template Builder. They should follow the Help Documentation, which you can access from anywhere in the mobile CRM app, in order to do so. Once they’ve set that up for you, you will see a template on your list, and it will be really easy to follow from there.

Additional Contract Features

 

On some contracts, you can set an option to include an estimate. Tap on the estimate to apply it to the contact. As soon as you hit save, JobNimbus takes your template and auto-fills customer information. This helps save you time, so you don’t have to worry about doing it yourself. Autofill information includes the customer’s name, phone number, address, email, and whatever else you want to see in your mobile CRM app.

If you scroll down in the Contact Detail, under “Related” you can see all the documents you’ve created. After you tap “Documents” and select the one you just created, you can hit the plus (+) button on the top and choose to sign the document with your finger. You can sign your own document or have customers sign it straight from your phone. Then, you can simply email a copy of the signed document to your customer. You also have the option to view the document, add a note, or print.

You can take photos with your JobNimbus mobile app and they’ll automatically upload to the customer or job that you want to put those photos on. There are two ways you can add photos to a contact or a job using the roof app. You can add photos from your phone after taking them, or you can take photos from within the mobile roof app. Snap as many photos as you want, then attach them directly to the customer file. You can also add notes about each photo. All your photos are automatically synced to your JobNimbus and accessible to other team members.

How to Upload Photos

 

From your home screen, if you click your contacts list in the mobile roof app, you can select the customer you want to put those photos on. If you have Jobs enabled, similarly, you would click on Jobs and select a specific job to upload those photos. After you’ve selected your contact or job, you can see a plus (+) icon in the top right corner of your mobile app. Tap it and then tap the option to add photos.

From there, it takes you to a screen where you can put in a name for the photo, set a category, or add a description. The name, category, and description are all optional to fill out. Categories are also customizable, so you can talk to your administrator about adding specific categories if you want to put your photos into different folders.

At the bottom of the screen, simply press the “Add Photo” button, and immediately JobNimbus will ask you to choose your source. You can either take a live picture or pick from your photo album on your phone. If you choose to take a live photo, you can retake or use your photo and JobNimbus will queue it to your list. You can take as many photos as you’d like and your roof app will continue to queue up your items one at a time.

Once you hit save, those photos are automatically in the background being uploaded to JobNimbus. If you want to check, look in your Contact Details and scroll down to “Related.” There you can view all your attachments including your photos. In the web, as soon as you find the customer’s profile you just uploaded photos to, you can see those photos posted under the attachments tab.

Tips for Uploading Photos

 

The JobNimbus roof app works in offline mode so it can sync photos and attachments to the web whenever it has a chance to connect to Wi-Fi. The size and number of photos affect how fast they transfer to the web app. Strong Wi-Fi connection should speed up this process. If you take large amounts of photos and your connection is mobile data only, it may take longer for the photos to sync to the contact/job in the web app. 

If the photos still have not synced to the Web app after a few hours of strong Wi-Fi connection (this may happen with large batches of high-resolution photos), try adding one photo to another contact (could be a test contact). This may help restart the photo sync. Don’t delete the roof app during a photo sync or you may lose your photos, especially if you took them from the app and are not uploading them from a phone gallery.

When setting up your JobNimbus roofing management app, one of the important questions to ask yourself is whether or not to use Jobs. You can use Jobs to track your customers and projects in JobNimbus. The Job approach automatically creates jobs under the contact for each project you are working on for them. All information including notes, tasks, attachments, financials, and work orders are tracked by the specific job they relate to. Using the Job approach is a little more complicated than the contact approach, however, it can offer better benefits depending on your company’s situation. So why should you consider using Jobs? Here are a couple of points for you to consider before deciding whether using Jobs is right for you.

Your Existing QuickBooks

 

One of the easiest ways to decide if you should use Jobs in your roofing management app is to look at your existing QuickBooks. If you’re already tracking Jobs by sub-customers in QuickBooks, or if you plan to sync your QuickBooks with JobNimbus, you would definitely want to use Jobs in JobNimbus. If you’re not using Jobs in QuickBooks or tracking by sub-customers, then you would do not want to use Jobs in JobNimbus. This is because you would then have to change your QuickBooks around rather than keeping it the same. 

Multiple Jobs Per Customer

 

Another factor to consider is whether you have multiple jobs with a single customer. Jobs is a good approach for companies with multiple projects per contact. If you do a lot of repeat business with customers and your projects are large and span multiple days, using Jobs in JobNimbus is a good choice. The Job approach would help greatly in keeping track of multiple projects per client in your roofing management app.

If multiple jobs per customer are rare, you may consider not using Jobs. It may complicate the workflow for your users, especially when multiple jobs per customers is not common. Instead, just track by contact and create a duplicate contact in those rare cases when you need more than one project.

Hybrid Approach

 

Some users also like the Hybrid approach where you can combine Contacts and Jobs together in your roofing management app. This approach tracks the sales side of your process by contact, then tracks the production side of your process by the job. Jobs are created only when the project moves to production. The downside to this approach is that it can be confusing. Since users have the option of adding attachments, financials, etc., in either the contact or the job, it could be difficult to find these documents. The best option would be to try to standardize your process to either Contacts or Jobs alone. 

Many users prefer working with Jobs in their roofing management app due to its flexibility. JobNimbus lets you manage Jobs with a “digital file folder” for each of your projects. This lets you easily access all your information and keep it nice and organized. Again, Jobs would be a better option for your company if you already track Jobs in Quickbooks or have multiple projects per contact. You can track your leads and prospects right from your mobile roofing app in JobNimbus. The JobNimbus mobile app makes lead tracking easy and offers many great benefits. You can easily add leads from the office, track the source of your leads, and assign those leads to a specific salesperson.

We’re proud to offer the JobNimbus app, a mobile CRM that lets you grow your sales and own your projects. Every day, we work hard to make this app as useful as possible, allowing you to manage all of your most important tasks on the go from your mobile device.

If you’re out of the office, on the job site, or just on the go, you’ll always be able to have access to the most important information on JobNimbus including your contacts, jobs, and tasks.

  • Track leads using customizable statuses and workflow. Log notes and track follow-up tasks.
  • Contact management. Add, edit, and call contacts directly from the app. Activity and Details are now tabs, making it easier to swipe left and right on a contact to see what you need.
  • Manage jobs with a “digital file folder” for each of your projects. Attach documents, notes and related tasks.
  • Upload photos directly to a task, job, or contact.
  • Schedule appointments, tasks, and meetings for yourself and others.
  • Calendar view for easy scheduling and planning. We’ve enriched the calendar with a new Agenda view and more to see your day in a whole new way.
  • Email notifications to let your team know about assigned contacts and tasks. Daily task reminders.
  • Manage documents including contracts, estimates, invoices, PDFs, and photos.
  • Offline Mode*: Continue to use the full functionality of adding contacts, jobs, tasks, notes, and photos when offline. When you come back online, JobNimbus will seamlessly sync with the server and other devices.
  • Supercharge performance. Sync, views, and actions all got a huge speed boost.
  • Task list to give you a better view of what’s overdue, due now, and upcoming.
  • Type and Status at the top of each Contact/Job to take up less room and be less prone to miss-taps. Just tap on the status at the top to choose a new one, or change it while editing.   
  • DisplayName. Use “DisplayName” as the unique identifier for contacts. Also use unique job name functionality.

*Because the JobNimbus mobile app supports offline mode, it must synchronize down your contacts, jobs, and tasks so that they are available whether you are connected or not. In order to reduce the amount of space that JobNimbus takes up on your device, the default is to synchronize only contacts and jobs where you are either the Sales Rep or an Owner.

If you want to change this default behavior to synchronize all contacts and jobs no matter what, you can go to Job Status and Contact Status in Account Settings and check the box for Mobile Sync which will force any jobs or contacts in that status to synchronize every time.
